Overview
Trace is a voice-first productivity app for reminders, notes, lists, photos, and personal organization.
As of the Effective Date, Trace Labs Ltd. does not operate a backend that stores your private reminders, notes, lists, photos, raw iPhone voice recordings, or transcripts. Trace is local-first, but selected Apple services may process data for speech recognition, reminders, subscriptions, and device features, and selected third-party services may process data for AI, subscriptions, analytics, website hosting, and support.
Trace does not currently require you to create a Trace Labs account to use the app. Trace Labs does not collect your email address through the app unless you choose to contact us for support, join a beta or community program, or otherwise provide it to us.
Information We Process
Organizer Data
Trace stores your reminders, notes, lists, saved places, and photos locally on your device. Some data may also be stored in the app’s shared App Group container so Trace widgets and app extensions can work.
Trace is a general productivity app and is not designed to collect sensitive personal information. However, the reminders, notes, lists, photos, saved places, or commands you choose to enter may include sensitive information, such as health, financial, legal, immigration, religious, or personal details. Trace processes this information only as needed to provide the features you choose to use.
If you enable Apple Reminders integration, Trace reads and writes reminder data through Apple’s Reminders framework. This may include reminder titles, due dates, recurrence, completion status, calendar/list information, and location-based reminder alarms.
Voice, Audio, and Transcription
On iPhone, Trace uses Apple speech recognition and/or on-device transcription components to turn your voice into text. Trace records audio temporarily for transcription and does not send raw iPhone audio to Trace Labs servers.
Depending on your device, language, settings, and Apple’s system behavior, speech recognition may be processed on-device or by Apple services. Apple’s processing of speech recognition, Siri, Dictation, and related data is governed by Apple’s privacy terms and settings.
AI Processing
Trace uses OpenAI to understand organizer commands and produce structured reminder and note actions. When you use AI features, Trace may send OpenAI a temporary transcript and relevant context, such as recent chat messages, reminder titles, due dates, recurrence information, saved place names, note titles, note previews, and note content needed to complete your request.
Trace configures OpenAI requests with store: false. OpenAI may retain API abuse-monitoring logs containing prompts, responses, and related metadata for up to 30 days by default unless Trace has enabled an approved zero-data-retention or modified-abuse-monitoring configuration.
Trace Labs does not use your private organizer content to train AI models. OpenAI processes data under its own applicable terms, retention controls, abuse-monitoring policies, service tiers, and project settings. Where provider controls are available, Trace Labs does not opt in to training or product-improvement use of your private organizer content unless we clearly tell you and obtain any consent required by law.
Analytics
Trace uses PostHog for limited onboarding analytics. Analytics may include an anonymous install identifier, app version/build, onboarding completion time, selected age range, selected goals, selected capture styles, selected categories of things you want help remembering, and referral sources.
Trace does not send your name, reminder text, note text, transcripts, raw audio, photos, or precise location to PostHog analytics.
Subscriptions and Purchases
Trace uses Apple StoreKit and RevenueCat to manage subscriptions, purchases, restores, offerings, and premium entitlements. Apple and RevenueCat may process purchase status, product identifiers, entitlement status, transaction information, and SDK/customer identifiers.
Trace does not send your reminders, notes, transcripts, photos, or voice recordings to RevenueCat.
Location
If you save places or create location-based reminders, Trace may store place names, coordinates, and radius values locally on your device. Trace may send saved place names and place types, but not precise coordinates, to its AI planner so it can understand commands like “remind me when I get home.”
Location alarms created in Apple Reminders may include coordinates and radius values in Apple Reminders.
Photos and Camera
If you grant camera or photo library access, Trace can capture or import images you choose. Images are stored locally by the app.
Website
Trace does not currently use website cookies or website tracking on its public website. Our website hosting provider may process basic technical logs, such as IP address, browser, device, and request information, as needed to operate and secure the website.
Support
If you contact Trace by email, Trace Labs may receive the information you choose to send, such as your email address, message content, screenshots, logs, or other support details.
How We Use Information
Trace uses information to transcribe voice commands, create and organize reminders, notes, lists, photos, and saved places, sync with Apple Reminders if enabled, power widgets and app shortcuts, provide AI organization, manage subscriptions, understand onboarding completion, respond to support requests, and maintain the app.
Third-Party Services and Providers
Trace uses selected third-party services to provide core app functionality.
These may include Apple for iOS permissions, speech recognition, Apple Reminders, notifications, App Store subscriptions, StoreKit, device services, and related platform features; OpenAI for AI command understanding, structured reminder and note actions, summaries, and organization features; RevenueCat for subscription status, purchase restoration, offerings, and premium entitlement management; PostHog for limited onboarding analytics; website hosting providers; and email or support providers if you contact us for support.
These providers may process information as needed to provide their services. Trace Labs does not send private organizer content to PostHog or RevenueCat. Trace may send temporary transcripts and relevant organizer context to OpenAI for AI features.
We may also disclose information if reasonably necessary to comply with law, legal process, enforce our terms, protect Trace or users, prevent fraud or abuse, address security issues, or in connection with a merger, acquisition, financing, reorganization, or sale of assets.
What Trace Labs Does Not Do
As of the Effective Date, Trace Labs Ltd. does not operate a backend that stores your private reminders, notes, lists, photos, raw iPhone voice recordings, or transcripts.
Trace Labs does not sell your personal information. Trace does not use ATT/IDFA advertising identifiers. Trace does not send private organizer content to PostHog analytics. Trace does not send reminders, notes, transcripts, photos, or voice recordings to RevenueCat.
Trace Labs does not use your private reminders, notes, lists, photos, transcripts, voice recordings, or organizer content to train AI models.
Security
Trace uses reasonable technical and organizational safeguards designed to protect information processed by the app. These may include platform security features, Apple permission controls, local device storage protections, access controls, and limiting the data Trace Labs stores on its own systems.
No method of transmission or storage is completely secure. We cannot guarantee that information will always remain secure, private, or available.
Retention
Organizer data stored by Trace remains on your device until you delete it, use in-app deletion controls, or remove the app.
Temporary iPhone audio files are used for transcription and are not stored by Trace Labs.
If you use Apple Reminders integration, reminder data may remain in Apple Reminders according to your Apple settings and edits in the Reminders app.
PostHog may retain limited analytics events. Apple and RevenueCat may retain subscription and purchase-related records. OpenAI may retain API request data, metadata, or abuse-monitoring logs according to its applicable terms, retention controls, and project settings. Website hosting providers may retain technical logs as needed to operate and secure the website. Support emails and support materials you voluntarily send to Trace Labs may be retained as needed to respond, troubleshoot, maintain records, comply with law, or protect our rights.
Your Choices
You can control app permissions in iOS Settings, including microphone, speech recognition, camera, photo library, location, reminders, and notifications access.
In Trace settings, you can clear chat history or delete local app data on this device. Deleting local Trace data may not delete data already stored in Apple Reminders, Apple purchase history, RevenueCat, PostHog, OpenAI, website hosting logs, or support email systems.
You can manage or cancel subscriptions through Apple’s subscription settings.
Privacy Rights
Depending on where you live, you may have rights to request access to, correction of, deletion of, or information about certain personal information processed by Trace Labs.
Because Trace is local-first and Trace Labs does not operate a backend that stores your private organizer data, some requests may need to be handled through your device, Apple Reminders, Apple settings, RevenueCat, PostHog, OpenAI, or other providers.

International Processing
Trace Labs Ltd. is incorporated in the British Virgin Islands. The third-party services used by Trace may process information in the United States and other countries.
Your information may be processed in countries other than where you live. Those countries may have data protection laws that differ from the laws in your jurisdiction.
U.S. State Privacy Notice
Depending on where you live, you may have rights to request access to, correction of, or deletion of personal information, and to know how personal information is used.
Trace Labs does not sell personal information and does not share personal information for cross-context behavioral advertising as of the Effective Date.

Children
Trace is not intended for children under 13. Trace Labs does not knowingly collect personal information from children.
Changes
Trace Labs may update this Privacy Policy from time to time. The effective date above indicates when this policy was last updated.
